A shared workflow for lighting retrofit work
A video companion on keeping estimates, samples, specifications, and workflow decisions connected in a retrofit operation.
An LED retrofit begins with incomplete information: photos, dimensions, a fitting to identify, and a team trying to prepare an estimate. Later a physical sample arrives, a prototype is developed, and approval decides whether the work moves to production. When those materials sit in email and shared folders, recovering the earlier decision becomes work of its own.
I built a shared workflow around the project and fitting. Guided photo categories and identifying details give estimation a consistent start. The estimate, sample, measurements, components, documents, and relevant files remain connected to the same record.
A record that can carry the work forward
The point was not to force every project through one rigid route. It was to make the current state and the next decision visible. The workshop can develop a prototype, send it for approval, and retain the technical material needed to reproduce the approved fitting.
Daily use exposed bottlenecks and paths that differed from the original design. Short feedback and implementation cycles made it possible to clarify progress for individual fitting types within one project. The workflow history also creates a starting point for process mining: it can show waits, repeated steps, and the routes projects take.
